    Qualities of good Notation

Notation in library classification refers to a system of symbols or codes used to represent specific subjects or topics in a classification scheme. Notation serves as a shorthand method of representing the main subjects and subtopics in a classification system, allowing for easy and efficient organization and retrieval of library materials.

The main function of notation in library classification is to provide a systematic way of assigning call numbers to library materials based on their subject matter. Call numbers are unique identifiers assigned to each item in a library’s collection, and they help users locate materials on library shelves or in online catalogs.

The notation also helps to organize library materials into categories based on their subject matter, making it easier for users to browse and discover new resources. In addition, the notation can be used to create indexes and tables of contents, providing users with a quick and efficient way to locate specific topics within a classification system.

Qualities and Usefulness of good Notation

    Qualities of a good Notation

It is obvious from the use made of a notation that the symbols standing for topics in the schedules should:

    • Notation should reflect order: The Notation must indicate the order, which means the symbols used to represent the topic should indicate the position of that topic in the hierarchy of its main class or division.
    • Notation should be assembled as fetchable:  Simplicity of notation depends on the length of notation and on the type of symbol used. The mixed notation may be slightly more complex than a pure notation of equal length.
    • Notation should be as brief as fetchable: The notation is required to be written on many records, such as the spine of books and the catalogue cards. Therefore the briefness in notation is desirable.
    • Notation should have flexibility: The qualification of good notation is that it should be able to accommodate new topics. That means a notation must have provision for the insertion of a new topic into its relevant place in the schedules.
    • Notation should use the synthetic information: Flexibility of notation is impracticable without synthesis in notation, and synthesis is a fetcher that all schemes use to a lesser or greater.
    • Hospitality: The most important quality without which the ‘Notation’ is valueless for the purpose of efficient library classification is its hospitality. Since knowledge is dynamic and new subjects are constantly being created, schedules must be able to accommodate new concepts in the correct place. so notation must
be able to accommodate insertion at any point where it will be necessary.
    • Mnemonic: By ‘Mnemonic,’ we mean a notation that always has the same significance whenever it appears in the classification. Mnemonics in notation are aids to memory.

The usefulness of Notation in Library classification:

Notation is a series of symbols that stands for the name of a class or any division or sub-division of a class and forms a convenient means of reference to the arrangement of a classification. Summarizing its usefulness, a notation:
    1. Notation ensures that library materials are organized in a consistent and standardized manner. This makes it easier for users to find materials and navigate the library’s collection, regardless of the specific library they are using.
    2. Notation helps to ensure that materials on similar topics are shelved together, making it easier for users to locate related resources. It also helps library staff to quickly find and retrieve materials when they are requested by users.
    3. By grouping materials on similar topics, notation makes it easier for users to browse the library’s collection and discover new resources they might not have otherwise found.
    4. Stands instead of the terms of classification. It is a constant sign or symbol by which we refer to those terms.
    5. It is a guide to the sequence of the tables and “places,” a term in the hierarchy of the schedules. The bare names of the subjects give no indication of the relative place of those subjects in the schedules; e.g., the term “Psychology” conveys no clue to its place in, say, the schedules of the Decimal classification. Still, the symbol 150 definitely does – the fifth division of class 100. this is important.
    6. It makes possible use of the index. The symbol attached to the index entry is the only means of quick reference to the place of the topic in the schedules.
    7. It can be used as a short sign to be written on various parts of the book on the spine, back of title page, label, charging cards, etc.- to facilitate the arrangement of books on the shelves, recording issues, and other statistical information.
    8. Assures clear and efficient working of catalogues by referring readers quickly from the entries of the books.
    9. Facilitates the use of mnemonics.

Notation is a critical component of library classification systems, and its use can greatly improve the efficiency and effectiveness of libraries in providing access to information resources.
